4.3 Surveys

To further develop the Creative.Quarters Ruhr and Individual Support for Artists (IKF) funding programmes, ecce performs evaluations of the funded projects in which the expectations, satisfaction and opinions of funded persons are surveyed before and after funding. Funded persons register with their email address on the online platform www.umfrageonline.com (enuvo GmbH). The following personal data are collected from them via online questionnaire: name (in all evaluations); in the evaluation of the IKF programme, data regarding age group and gender are collected as well.

enuvo GmbH, the service provider of the online platform, records and stores the data. Umfrage Online also collects the respondents’ IP addresses to prevent abuse and to ensure that surveys are not completed twice.

All evaluation data as well as personal data are retrieved, processed and digitally stored on ecce’s server as well as analogically filed in folders. The data are stored for an unlimited period of time for documentation of the funding programmes. ecce will use the anonymous evaluations of the survey data for evaluation purposes and partially publish them. ecce will store these data for an unlimited period of time to further develop the funding programs and to ensure a needs-oriented funding structure. Furthermore, the Ministry, the District Governments and their audit authority have the right to view all digital and analogue data present at ecce at any time.
 

4.4 Newsletter


Newsletter data
If you wish to receive any of the newsletters offered on our website, we require your email address as well as your agreement that you consent to the receipt of the newsletter. We offer you the option, on a voluntary basis, of receiving a personalised newsletter. For this we will collect your first name and surname. Other data will not be collected. We will use this data solely for sending the information requested and will not pass it on to third parties. We use the CleverReach mailing system for sending newsletters. Your email address as well as your first name and surname (if required) will be uploaded through the CleverReach system. The processing of data provided by you into the newsletter subscription form is solely on the basis of your consent (Article 6, paragraph 1 of GDPR). You have the right at any time to withdraw your consent to the storage of your email address and, if applicable, your first name and surname as well as their use for the purpose of sending you the newsletter. This can be done for example via the unsubscribe link that appears at the end of every newsletter. The lawfulness of data processing operations already carried out remains unaffected by this withdrawal of consent. The data provided by you to us for the purpose of receiving the newsletter will be stored by us up until such as time as you cancel it and will then be deleted after you unsubscribe to the newsletter.

If you wish to subscribe to receive publications, we require the following information: first name, surname, street, post code, town/city and country (as well as organisation and additional address information, if required), email address and your agreement that you consent to receive our publications. Other data will not be collected. The Ministry of Culture and Science of the State of North Rhine-Westphalia, the district governments and their audit authorities have the right at any time to access all digital and analogue data held by ecce. The processing of data provided by you into the subscription form for the receipt of publications is solely on the basis of your consent (Article 6, paragraph 1 of GDPR). You have the right at any time to withdraw your consent to the storage of your contact information as well as its use for the purpose of sending you the newsletter. This can be done for example via the unsubscribe link that appears at the end of every newsletter. The lawfulness of data processing operations already carried out remains unaffected by this withdrawal of consent. The data provided by you to us for the purpose of sending publications will be stored by us up until such as time as you cancel it and will then be deleted after you unsubscribe to the publications.

 

4.6 Application form for the NICE Award

If you apply for the NICE Award, the following personal data are collected by ecce via an online form on this website that is activated during the application period: first name, surname, date of birth, street, postal code, city, country, telephone number, email address, and names of the team members. Also, every applicant submits the link of a video of his/her project and at least two pictures, which will be used for the programme brochure in case of nomination. Optionally, applicants can indicate a website of the project as well as a Facebook and Twitter page.

After the official deadline for submissions, all project-related and personal data are processed by ecce and digitally stored on ecce’s server. Furthermore, the applicants’ data are analogically filed in folders and a formal examination of the submitted applications by ecce follows. The data are stored for an unlimited period of time for documentation of the NICE Award. Furthermore, the Ministry for Economic Affairs, Innovation, Digitisation and Energy of the State of North Rhine-Westphalia, the District Governments and their audit authority have the right to view all digital and analogue data present at ecce at any time.

The pre-examined applications are made available to the jury for review and selection of the shortlist and the winners of the NICE Award. All jury members are contractually bound to confidentiality, non-disclosure and non-storage of the data.

 

4.7 Application form for the KREATIVCAMPUS.RUHR Award

If you apply for the KREATIVCAMPUS.RUHR Award, the following personal data are collected by ecce via an online form on this website that is activated during the application
period: first name, surname, date of birth, street, postal code, city, country, telephone number, email address, and names of the team members. Optionally, applicants can indicate a website
of the project as well as a Facebook and Twitter page.
After the official deadline for submissions, all project-related and personal data are processed by ecce and digitally stored on ecce’s server. Furthermore, the applicants’ data are

ecce uses the mailing system Cleverreach. The provider is CleverReach GmbH & Co. KG, Schafjückenweg 2, 26180 Rastede, Germany.

If ecce sends a newsletter via Cleverreach containing a link to the ecce website, Cleverreach creates statistics for the link’s performance. Cleverreach stores the email addresses.

 

6.6 Eventbrite

Our website uses links to the registration portal Eventbrite to register for events. The provider is Eventbrite Inc., a company registered in Delaware with headquarters at 155 5th Street, Floor 7, San Francisco, CA 94103, reg. no. 4742147, USA.

As part of event registrations, the users enter their email addresses and, on a voluntary basis, their first and last names which ecce will then archive for documentation purposes within the framework of the events.

Umfrage Online collects the respondents’ IP addresses to prevent abuse and to ensure that a survey is not taken twice.
